What Should I Do If I Suspect Time Theft or Timekeeping Fraud?

Leeds West Groups takes timekeeping accuracy and integrity seriously. If you suspect time theft, falsification of time records, or tampering with time entries, it is important to report your concern so it can be reviewed appropriately.

 

Quick Answer
You should report the concern to Human Resources as soon as possible. You do not need to investigate or confront anyone yourself.

 

Examples of Timekeeping Concerns

Concerns may include, but are not limited to:

  • Working off the clock

  • Buddy punching

  • Altering or falsifying time records

  • Changing another team member’s punches without authorization

  • Pressuring others to underreport time worked

  • Repeatedly working during unpaid meal periods without clocking back in

If something does not seem right, it is appropriate to raise the concern.

 

How to Report a Concern

You may report timekeeping concerns by:

  • Submitting a ticket to Human Resources through HappyFox

    • When reporting, share as much factual information as you are comfortable providing, such as dates, times, locations, or patterns you observed.

Important Things to Know

  • You are not required to have proof before reporting a concern.

  • You should not confront the individual involved.

  • All reports are handled professionally and confidentially to the extent possible.

 

Protection From Retaliation

LWG strictly prohibits retaliation against any team member who raises a concern or reports suspected misconduct in good faith. Retaliation itself is a serious policy violation and will be addressed accordingly.

 

What Happens After a Report Is Made

  • HR will review the information provided.

  • If appropriate, an investigation will be conducted.

  • Findings and actions are handled confidentially and shared only on a need-to-know basis.

You may not receive details about the outcome, but all concerns are taken seriously and reviewed carefully.
